InteractiveFunction Cost Centre Review: Monthly Budget vs Actual Pack
A month-end pack that shows which support functions and cost lines are over budget, by month and year to date.
Business challenge
Function heads and the executive team needed a consistent monthly view of support-function spending against budget and sales, and a fast way to find the few cost lines behind each overspend.
Outcome
Month-end cost reporting becomes a data refresh instead of a rebuild, and budget holders are asked about specific lines rather than totals, which tightens cost control across central functions.
Overview
A monthly cost review pack for a multi-site grocery retailer's support functions: Marketing, IT, Store Development & Maintenance, and RCID & CRM, with seven marketing sub-cost centres. Every page compares actual with budget and last year for month to date and year to date, shows costs as a percentage of sales, splits labour, operating and other costs, and plots a 12-month trend. Top Cost Lines and Major Expenses rank the lines behind each variance. How to use it: on the Start Here sheet, use the drop-down in the yellow cell E16 to pick the reporting month (Jan to Dec). All 16 review pages and their charts follow it. Open KPI Dashboard for sales, margins, customer count, basket size and function cost trends. Open Exec Review - Opex and Exec Review - Functions, then any function page, to see Actual, Budget and Last Year side by side. Open Top Cost Lines and Major Expenses to see the cost lines with the largest variances.
Approach
General ledger extracts for the current and prior years sit in data tabs and are read through monthly named ranges. One month selector drives SUMIFS formulas across every page, so the pack rolls forward without rebuilding. Identical templates per function and sub-function feed an executive summary, and ranking schedules list the largest MTD and YTD variances ready for comments.
