CASE STUDY
InteractiveConference P&L, Break-even & Cash Timing Model
Ticket curves, sponsorship and venue deposits for three city conferences, with break-even, sensitivity and the cash timeline of each event.
Business challenge
A conference organiser needed to know how many tickets each event must sell once sponsors and exhibitors are counted, which city really earns the most, and when each event needs cash.
Outcome
Management can set prices and sponsorship targets with break-even in view and see what the central team costs. In the base case, the London event breaks even at 89 paid tickets because sponsors and exhibitors cover most of its fixed cost.
Overview
An event-by-event model for a conference organiser running three city events a year. Weekly ticket sales by tier, sponsorship packages and exhibitor booths drive income, while venue, production and per-attendee costs drive spend. Ticket advances, sponsor billing and venue deposits set the cash timing of each event, and every edition consolidates into calendar-year statements with central overhead charged once. Break-even, price-and-attendance sensitivity and city comparisons show where the profit comes from. How to use this model: On the Dashboard sheet, choose the city in cell D5, the edition year in I5 and the case in N5; break-even tickets, event profit, sponsorship and peak cash need update for the selected event, and the price-attendance grid shows profit at other ticket prices and seat counts; on the Break-even & Sensitivity sheet, read event profit across ticket price and paid attendance, and on Event Comparison see the three cities side by side after central overhead; on the Cash Timeline sheet, follow ticket receipts, sponsor billing and venue deposits month by month.
Approach
Each edition has its own ticket curve by tier, sponsorship and booth packages and cost build. Cash timing follows ticket advances, sponsor invoices and venue deposits. Editions consolidate into calendar-year statements with central overhead charged once, and checks confirm nothing is counted twice.
